# HubSpot vs Salesforce: which CRM fits your revenue team, and when to switch

The short answer

HubSpot vs Salesforce for B2B revenue teams: fit, pricing model, admin, reporting, total cost and when to migrate. From a technical HubSpot partner.

![Leaving Salesforce? HubSpot vs Salesforce comparison](https://www.wearemuloo.com/hs-fs/hubfs/blog/featured/blog-hubspot-vs-salesforce.jpeg?width=1200&height=675&name=blog-hubspot-vs-salesforce.jpeg)

Salesforce is a platform you build a CRM on. HubSpot is a CRM you configure.

If you have a large admin and developer team and processes that are genuinely unusual, Salesforce gives you more room. If you want marketing, sales and service on one data model that your ops team can run without a developer on every change, HubSpot is usually the better fit. Most of the real cost sits in the build and the admin, not the licence.

We are a technical HubSpot partner, so read this with that in mind. We also don't resell licences, so we are paid for the work, not the software, and we will tell you when Salesforce is the right answer. [Our partner status, and what it does and doesn't buy you](https://www.wearemuloo.com/partners).

## Who each one fits

### Salesforce fits when

- You have, or will hire, dedicated Salesforce admins and developers, and you plan to keep them.
- Your process needs heavy custom logic, custom code or industry specific data models that go well beyond standard sales objects.
- You run a large, multi cloud estate where Salesforce is already the system of record for service, commerce or partner management, and it works.
- Procurement, security or group IT has already standardised on it.

### HubSpot fits when

- Marketing, sales and service need to work off one record without a sync between separate systems.
- The team that runs the CRM is an ops or RevOps person, not a development team.
- Adoption is the problem. The CRM exists, but sellers avoid it and leadership doesn't trust the numbers.
- You want to move fast, and you want changes to go through a governance process rather than a development backlog.

### The honest middle

Plenty of mid market teams sit between the two. The question isn't which tool is more powerful. It's which tool your team will actually keep clean in two years' time. A Salesforce org nobody can maintain and a HubSpot portal nobody governs fail in the same way.

## HubSpot vs Salesforce at a glance

| | HubSpot | Salesforce |
| --- | --- | --- |
| **What it is** | A CRM platform with marketing, sales, service, content, data and commerce tools on one data model | A CRM platform (Sales Cloud, now sold as Agentforce Sales) plus a wide family of separately licensed clouds and add-ons |
| **Typical fit** | SMB to upper mid market, and enterprise teams that value speed and adoption | Mid market to large enterprise with complex processes and in house admin and dev capacity |
| **Pricing approach** | Per seat by edition, plus usage based credits. New EMEA customers since 1 Oct 2026 buy one edition, seats and a monthly credit pool | Per user per month by edition, mostly billed annually, with add-ons and Flex Credits for AI usage |
| **Admin** | Configured in the UI by an ops or RevOps owner. Most changes need no code | Point and click admin plus code (Apex) for complex logic. Usually a dedicated admin and often developers |
| **Customisation** | Custom properties, pipelines, workflows and (on Enterprise) custom objects. Custom code where needed | Close to unlimited: custom objects, Flow, Apex, Lightning components |
| **Reporting** | Cross object reports and dashboards built in. Good when the data model is designed first | Very flexible report types and dashboards, plus analytics products. Powerful and admin heavy |
| **Integrations** | HubSpot App Marketplace, APIs, and a native two way Salesforce integration | AppExchange, APIs, and MuleSoft for enterprise integration |
| **Time to value** | Weeks for onboarding, a few months for a multi hub build | Usually longer, because more is built rather than configured |
| **Where cost hides** | Credits and edition choice, integrations, and under governed portals | Implementation, admin headcount, add-ons and custom code maintenance |

*Feature availability depends on edition and changes often. Check [hubspot.com/pricing](https://www.hubspot.com/pricing) and [salesforce.com/sales/pricing](https://www.salesforce.com/sales/pricing/) before you decide.*

## Pricing approach (without the made up numbers)

We are not going to print list prices. Both vendors changed their packaging in the last few weeks, and any number in a blog post is wrong within a quarter. The pricing model matters more than the price anyway, because it decides what you pay for as you grow.

### How Salesforce charges

Salesforce prices Sales Cloud per user per month by edition. Most editions are billed annually. In September 2026 Salesforce introduced new Core, Advanced and Max editions that replace the old Enterprise, Unlimited and Agentforce 1 packaging for new buyers, and they bundle Flex Credits for AI usage. Starter Suite and Pro Suite remain at the low end. Plenty of capability still sits in add-ons priced separately. [Salesforce's pricing page](https://www.salesforce.com/sales/pricing/) has the current figures.

### How HubSpot charges

It depends on where you buy and when.

- **New customers in EMEA (which includes the UK and South Africa) from 1 October 2026** buy one edition for the whole portal (Starter, Professional or Enterprise), seats for the people who use it, and a monthly pool of HubSpot Credits. Marketing emails, many workflow actions and AI features draw from that pool. You can't mix editions. Our [HubSpot pricing guide](https://www.wearemuloo.com/hubspot-pricing) has the seat and credit prices.
- **Existing customers, and new customers in other regions such as the US and Australia,** stay on hub based pricing for now. HubSpot hasn't published a date for other regions.
- Check whether your HubSpot quote includes an onboarding fee, and what it actually covers, before you sign.

Sizing the credit pool is the hard part, and getting it wrong usually shows up later on the bill, not on day one. Our [HubSpot pricing calculator](https://www.wearemuloo.com/tools/hubspot-pricing-calculator) sizes the edition, seats and credits on your own numbers, not a sales estimate.

## Ease of use and admin

This is the biggest practical difference, and it's the one that shows up in your headcount.

**HubSpot** is built to be run by the business. Properties, pipelines, lifecycle stages, workflows and dashboards are configured in the admin screens. A competent ops owner can run a well architected portal without writing code. The risk is the opposite of Salesforce: because it is easy to change, it is easy to change badly. Duplicate properties, workflows nobody owns and licences paid for and never used are the usual result. That is why we write the architecture down before anyone configures anything. [How we work](https://www.wearemuloo.com/how-we-work).

**Salesforce** gives you more control and asks for more skill. Declarative tools such as Flow cover a lot, and Apex covers the rest. In practice that usually means a dedicated admin, and often developers or a partner on retainer, to keep the org healthy. If you already have that team, it's an asset. If you don't, it's a cost you will discover after go live.

**Adoption** follows from that. A CRM the sales team avoids is a failed CRM, whatever the feature list says. We measure our own builds on adoption at thirty days, not on go live.

## Customisation

Salesforce wins on raw customisation. You can model almost anything with custom objects, custom code and components, and large enterprises with unusual processes need that.

HubSpot has closed much of the gap for most B2B teams:

- Custom properties, multiple pipelines, association labels and calculated properties cover most sales and service models.
- Custom objects are available on Enterprise, for the things your business tracks that aren't contacts, companies, deals or tickets.
- Custom code and the developer platform cover the edge cases, and services hosted outside HubSpot handle what HubSpot can't host.

The useful question isn't "can it be customised?" It's "should it be?" Most of the expensive failures we see in either platform are structural: a data model that was never designed, and customisation added one request at a time. Custom objects and bespoke automation rarely migrate cleanly from Salesforce. They are usually rebuilt, and that tends to be the cheaper answer.

## Reporting

Both platforms can produce the dashboard your board wants. Neither can fix a data model that was never designed for reporting.

- **Salesforce** reporting is very flexible: custom report types, joined reports and a wide analytics product range. It's powerful in the hands of an admin who knows the schema.
- **HubSpot** reporting is cross object by default, because marketing, sales and service share one database. Attribution and pipeline reporting work without a sync between systems. That is the main reason teams consolidate on it.

The common failure is the same in both: three dashboards, three answers, and a forecast nobody believes. The fix is agreed definitions and a dashboard per meeting, not a different tool. [Reporting platform setup](https://www.wearemuloo.com/solutions/reporting-platform).

## Integrations

Both have large ecosystems: HubSpot's App Marketplace and Salesforce's AppExchange, plus full APIs. The question is how much of your stack has to talk to the CRM, and who owns each field.

We connect HubSpot to the systems mid market and enterprise teams actually run: Shopify, Sage, Xero, SAP, Dynamics 365, Snowflake, SQL Server, PostgreSQL, Google Cloud, Azure and more. Across client integrations we manage more than 500 API endpoints. [HubSpot integrations](https://www.wearemuloo.com/solutions/integrations).

If you aren't ready to leave Salesforce, HubSpot has a native two way Salesforce integration. It syncs contacts, companies, deals, activities and other supported data. It needs a HubSpot Professional or Enterprise subscription and a Salesforce edition with API access, or Salesforce Professional. It doesn't support Salesforce Group Edition. Running both is a legitimate architecture (HubSpot for marketing, Salesforce for sales), as long as somebody owns the sync rules.

## Total cost of ownership

Licence price is the smallest part of the decision. Cost these lines before you compare quotes:

1. **Licences and seats.** Include the edition you'll actually need in year two, not the one that looks cheapest today.
2. **Usage.** AI and automation now consume credits on both platforms. Model your monthly email, workflow and AI volume.
3. **Add-ons.** CPQ, forecasting, dialler, data tools: which are included, and which are extra?
4. **Implementation.** A focused HubSpot build takes weeks. A complex Salesforce build is usually longer and more developer led.
5. **Run cost.** Admin and developer headcount, partner retainers, and the cost of change requests.
6. **Integration and middleware.** Every system that touches the CRM needs an owner and a maintenance budget.
7. **The cost of a portal nobody trusts.** Most portals degrade within a year of go live because nobody owns the standard. Whichever platform you choose, budget for governance.

When we modelled one group's HubSpot estate, reading live billing across six regional portals rather than invoices, the real spend was around $90k a year, against around $49k a year modelled for one consolidated portal. That was HubSpot to HubSpot, not Salesforce, but the lesson carries: read billing, not invoices, and sequence any move by renewal date so nobody pays twice. [The EPI-USE case study](https://www.wearemuloo.com/blog/epi-use-the-case-for-one-hubspot-across-six-regions).

## When to switch from Salesforce to HubSpot

Switching is expensive. Don't switch because a renewal quote annoyed you. Switch when several of these are true:

- Your Salesforce admin or partner is the bottleneck for every change, and the business has stopped asking for them.
- Marketing runs in HubSpot already, and the Salesforce sync is the source of most of your data arguments.
- You are paying for clouds, add-ons or seats the team doesn't use.
- Sales adoption is low and the forecast lives in a spreadsheet.
- Your processes are standard B2B (lead, opportunity, quote, renewal, ticket) and the heavy customisation is legacy, not need.
- A renewal date is coming that gives you a clean window.

**Stay on Salesforce** if the customisation is load bearing, you have the team to run it, and the problem is really process or data quality. Moving a mess just gives you a mess in a new system. If you aren't sure, start with an independent read on what you have. [CRM architecture review](https://www.wearemuloo.com/solutions/crm-architecture-review).

## How a Salesforce to HubSpot migration works with Muloo

A migration moves your data, history, process and integrations into HubSpot without losing the associations that make reporting possible, and without the sales team losing a week. A typical migration takes six to twelve weeks. Data quality drives the timeline far more than record count does.

1. **Map.** Source to target, field by field. Every Salesforce field is placed, merged or deliberately dropped, and the merge and dedupe rules are agreed before anything moves. The HubSpot data model is designed first, not inherited from Salesforce.
2. **Trial load.** A full load into a sandbox, reconciled against the source before anyone sees it. Migrating duplicates and cleaning up afterwards is how portals end up needing a rescue.
3. **Cut over.** The production load, integrations switched over, and parallel running with a daily check. Parallel running usually lasts two to four weeks, and it's non negotiable if you have a live sales team.
4. **Retire.** Once reporting reconciles, Salesforce goes read only, then off, on a date agreed in advance rather than a hopeful weekend.

### What moves, and what doesn't

- **Moves:** records, associations, owners, activity and files. Close dates, owners and stage history come across, which is what historic reporting depends on. Notes and emails move where Salesforce exposes them.
- **Rarely moves cleanly:** custom objects and bespoke automation (Apex, complex Flows). These are usually rebuilt in HubSpot, and that is usually cheaper.
- **Gets rebuilt:** integrations that pointed at Salesforce are rewired to HubSpot.

HubSpot also offers its own one time Salesforce transfer tool for simple cases. If you use it, don't run it alongside the two way Salesforce integration. They match records differently and will create duplicates.

If the HubSpot side needs building at the same time, that's a [full implementation](https://www.wearemuloo.com/solutions/hubspot-implementation). If you already have a HubSpot portal that's in trouble, start with a [portal rescue](https://www.wearemuloo.com/solutions/portal-rescue). The full migration service is on the [migration page](https://www.wearemuloo.com/solutions/migration).

## Why Muloo for this decision

- **Technical partner, not a marketing agency.** The work is architecture, data modelling, integrations and governance.
- **Gold tier HubSpot Solutions Partner,** and a HubSpot partner for around ten years. [Check it on HubSpot, not on our word](https://www.wearemuloo.com/partners).
- **No licence resale.** You buy from HubSpot directly. We have no reason to push you up a tier, or off Salesforce.
- **You talk to the engineer who builds it.** No account manager relaying messages.
- **50+ HubSpot builds shipped,** from audit through to operate.

## Questions people ask about HubSpot vs Salesforce

### Is HubSpot cheaper than Salesforce?

Often on licence, not always on total cost. HubSpot tends to cost less to run because changes need less admin and developer time. But edition choice, seats and credit usage can push the bill up quickly if nobody sizes them. Compare total cost of ownership over three years, not list prices. The [pricing calculator](https://www.wearemuloo.com/tools/hubspot-pricing-calculator) sizes the HubSpot side on your numbers.

### Can HubSpot handle an enterprise sales process?

For most B2B processes, yes: multiple pipelines, permissioned teams, Business Units for multi brand or multi region groups, custom objects on Enterprise, and integrations into ERP and data warehouses. Where Salesforce still wins is very heavy custom logic, and organisations that already run a large Salesforce estate well.

### How long does a Salesforce to HubSpot migration take?

Typically six to twelve weeks, including two to four weeks of parallel running. Data quality drives the timeline more than record count. If the HubSpot portal also has to be built from scratch, plan for a full implementation alongside it.

### Will we lose our reporting history if we leave Salesforce?

No, provided Salesforce exposes it. Close dates, owners and stage history come across, and associations between contacts, companies and deals are kept intact, so historic reporting still works.

### Can we run HubSpot and Salesforce together?

Yes. HubSpot's native Salesforce integration syncs contacts, companies, deals and activities both ways. It needs HubSpot Professional or Enterprise and a Salesforce edition with API access. It works best when one system is clearly the owner of each field.

### Should we migrate ourselves or use a partner?

A small, clean Salesforce org with standard objects can be moved with HubSpot's own tools. Bring in a partner when you have custom objects, years of messy data, integrations to rewire or a live sales team that can't stop for a week. Those are the cases where mapping, a trial load and a cutover plan pay for themselves.

### Will Muloo tell us to stay on Salesforce?

If that's the right answer, yes. Saying so early costs us a project and saves you a year.
